Import employees

Importing an employee list lets you quickly create users, organize them into departments, and send installation invitations without adding every employee manually.

Prepare a .csv file containing each employee’s name, email address, and group, then upload it to your Yaware.TimeTracker account.

Prepare the CSV file

  1. Open the template in OpenOffice Calc or another spreadsheet application. Do not change the first row: Yaware uses these column names to recognize the data.
  2. Fill in the columns: firstname, middlename, lastname, email, and group_name. The group can be a department or business unit; an empty value places the employee in the default group.

Important: the email field is required. A row without an email address will not be imported.

  1. Choose File → Save as and select Text CSV (.csv).

  1. Confirm that you want to use the selected format.

  1. Set the character encoding to Unicode (UTF-8), the field delimiter to a comma, and then save the file.

Important: use UTF-8 and a comma delimiter. Other settings can prevent employees from being added correctly.

Import employees into Yaware.TimeTracker

  1. Open Employees → Active employees or Inactive employees. You can also open Add employee → Send invitation by email.

  1. Click Import employees at the top of the page.

  1. Choose the prepared CSV file and click Import.

  1. Review the detected employees. If the data is correct, confirm the import.

Review employees before importing them

Imported users are active by default. If the active-user limit has been reached, additional users are placed in Inactive employees. The same import function can be used to email installation invitations to employees.
